How To Send A Fax
by Matt Gerchow
Here are the three easiest ways to send a fax.
There are three ways to send a fax online. I am going to show you how to send a fax, starting from the easiest method. The first is using a free fax service to send a fax online.
When I first started my consulting business, I had to send out the odd fax to clients, as well as legal documents setting the business up.
I didn't want to buy a fax machine, nor did I want to run to the local print shop to get them to fax it for me, so I searched for free online faxing, where I could not only send a free fax, but receive them as well.
I came across two types of sites.
The first site I came across, was one that was completely free, just enter the number, attach the document and the site would send it.
Very simple, and efficient. However, shortly after, I found this service to be a real pain. The reason why it is free, is because they actually send advertisements with your fax.
So the person receiving the fax receives these ads!
Can you believe that? On top of that, using this service, you can't receive faxes, so I needed something new.
My next search brought me to a few fax sites that offer free 30 day trial periods.
This was perfect. It was 100% fee, no ads attached, you get your own toll free fax number, and it uses free email to fax, meaning you can send and receive your faxes via email.
You send them the same way you send an email. I tried a few different services, and I ended up liking RingCentral the best. The two biggest things that made an impression were their customer service and reliability.
Their service is great, and the staff is always friendly and respond immediately if you need help.
Their service is convenient, it includes step by step instructions, and I don't need a fax machine, and I don't have to run out any time I need to receive a fax.
The next way, the traditional way, is using a fax machine. The biggest drawbacks fax machines are that they are expensive, you need a new phone line for it, and they take up a lot of room.

Here are the steps to properly send a fax via a fax machine:
1. Create a cover letter on your computer, using a word program. Include who the fax is intended for, and the intended fax number. Also include your name and fax number as well.
This way whoever receives the fax will know who to give it to, and where it came from.
2. On the fax machine there will be a keypad just like a phone. Enter the phone number of the desired recipient.
3. Place your documents in the fax machine tray, where it is label to place faxes.
4. Hit the Send button. The send button is usually quite big and easily noticeable. It is often placed near the keypad.
5. Wait for your documents to pass through the fax machine machine.
6. Once the documents have passed, the fax machine should print off a confirmation page stating the fax was successful.
That's it, it's a pretty easy process. The last way to send a fax, is by going to your local print shop or UPS store, and paying them to do it.
The print shop will often send your fax for you, for a small price. It is often over priced, but it saves you having to buy a fax machine, and finding a place for it.
The drawbacks of this method is you have to run to the store every time you want to fax something, and you also cannot receive faxes.
I have used all three of the above methods, and in the end, I found RingCentral was the best for me. I tried their free trial, while I was setting up my business, and it was perfect for me.
Once my business started picking up, I went back to them, and I currently use them, paying a small monthly fee.
I suggest, if you only need to send one or two faxes, use their free 30 day trial, they will treat you like you are a paying customer, and their service is reliable, unlike some of the others I have tried.
If you end up needed to send and receive faxes regularly, they have a small monthly fee, which is definitely worth it considering you don't have to buy a fax machine, or have it taking up any room.
There is no strings attached for the RingCentral trial...
